About the Role
Inc. We are recruiting a Payroll Coordinator for an in-house position, working closely with an external payroll bureau to ensure the accurate, compliant, and timely delivery of payroll services.
This is a standalone payroll role, acting as the central link between employees, HR, Finance, and the external payroll provider, with ownership of payroll coordination, governance, and continuous improvement. The organisation is open to candidates on a temporary, temp-to-permanent, or permanent basis, and will also consider full-time or part-time applicants (five days per week on reduced hours).
Role Responsibilities
- Act as the primary point of contact between employees and the external payroll bureau, responding to payroll enquiries and resolving queries efficiently and professionally
- Own the payroll timetable and act as gatekeeper for payroll deadlines, ensuring timely and accurate submission of payroll inputs
- Coordinate and manage payroll inputs, including inputting and checking hours and reviewing calculations and payroll data within the HR/payroll system
- Review payroll outputs and variance reports, investigating discrepancies and working closely with Finance to resolve issues
- Manage payroll-related enquiries, providing clear guidance to employees on payslips, deductions, benefits, and payroll processes
- Maintain accurate employee payroll data, including starters, leavers, contractual changes, and amendments within the HR system
- Support the administration and processing of P11Ds, salary sacrifice arrangements, pensions, statutory payments, and other benefits
- Reconcile payroll costs, taxes, pensions, and benefits, supporting payroll journals, accruals, and month-end reporting with Finance
- Act as the day-to-day relationship owner for the external payroll provider, challenging errors, monitoring service levels, and participating in service reviews
- Support year-end payroll activities, including P60s, P11Ds, reconciliations, and audit requirements
- Ensure payroll controls, approvals, and audit trails are followed, maintaining payroll documentation and supporting internal and external audits
- Act as the payroll subject-matter expert for the HR system, supporting system updates, testing, and data integrity
- Proactively question existing payroll processes, identifying and implementing improvements to accuracy, efficiency, controls, and employee experience
- Partner with HR, Finance, and the wider business to ensure payroll supports operational and employee needs
Person Specification
- Proven experience in an in-house payroll role
- Strong working knowledge of UK payroll legislation and processes, including P11Ds, salary sacrifice arrangements, and statutory payments and pensions
- Confident user of HR and payroll systems, with a strong focus on data accuracy and compliance
- Highly conscientious and diligent, with a strong sense of ownership and accountability
- Proactive and comfortable constructively challenging processes and providers to drive improvement
- Strong interpersonal and communication skills, with the ability to explain payroll matters clearly to non-payroll stakeholders
- A collaborative, business-partnering mindset, with the confidence to work independently in a standalone role
